Marketing Associate
Job Summary:
Coordination and support of Senior Vice President, Business Affairs and Senior Director, Cultural Tourism and Affinity Markets.  Manage daily activities with special emphasis on scheduling, meeting facilitation, departmental accounting, compiling reports and presentations, research and information gathering, word processing support, and screening/redirecting inquiries.  Responsible for aiding inter-department and external communication.

Job Requirements:

Education/Training

Education, training and experience equivalent to college graduate or higher education.  Minimum of five years of professional office experience.  Proven ability to meet deadlines, manage special projects, maintain schedules and prioritize workload.  Ability to work under pressure and handle multiple projects is essential.

Skills
    Strong word-processing, database competency, computer programs
    Excellent phone and in-person presence
    Solid communication and writing skills
    Strong organizational skills
    Working knowledge of Los Angeles useful

While not a prerequisite, knowledge of the function of a not-for-profit association is helpful.

Relationships
Internal        
Reports to Senior Vice President, Business Affairs and Senior Director, Cultural Tourism and Affinity Markets and liaisons with all members of the division and other Bureau staff.

External
Direct contact with travel industry professionals, members of the Bureau, City Hall, Board of Directors, Los Angeles World Airports and the community at large.

Key Responsibilities
  • Answer, screen and re-direct (if appropriate) telephone calls received by SVP Business Affairs and Senior Director of Cultural Tourism and Affinity Markets
  • Open, prioritize and re-direct incoming mail to SVP Business Affairs and Senior Director of Cultural Tourism and Affinity Markets, as well as assist in the response, initiation and creation of correspondence.
  • Provide administration support for Marketing division as needed.
  • Monitor relevant time cards and vacation schedules.
  • Make necessary scheduling arrangements for meetings in-house and off-site.  This includes working with vendors, sending meeting notices, receiving confirmations and preparing meeting materials.
  • Attend meetings and prepare official minutes as directed.
  • Maintain files and contact information; track and record (in organization system) interaction with any member. 
  • Provide calendar support, organize meetings, handles expense reports for SVP, Business Affairs and Senior Director of Cultural Tourism and Affinity Markets
  • Composition and compilation of reports and presentation as directed.
